So much to do, so few people to do it…

By: Faizullah

So why are visitors still not happy? The truth that most of us seem to overlook is that service is just as important as looks if not more so. Once the mind is past being awestruck with the look and feel of the place it tends to soak in the quality of service. Therefore we have endeavoured to list below some key issues that displease customers,

· Long queues

· Fat registers

· Incompetent front office or security personnel

· Slow check in/check outs

The root cause can be traced to the lack of trained and competent front office/security personnel to handle the many jobs of your everyday front office. Every administration at some point or the other comes across the singular task of having to find competent front office personnel.
It does not suffice just to find trained people but to find enough to do the job. The front office of any company handles many types of jobs from procuring information from visitors, keeping tabs on materials that they are bringing in or taking out, ensuring that the right person is intimated about the visitor, receiving couriers to handling non contractual staff, collecting keys, keeping tabs on vehicles and drivers. It is a full-fledged job that keeps one on his/her toes day in and day out. On the other hand is it feasible to employ more front office personnel…
The solution to this seemingly unsolvable problem is Visitor Management Software. A farmer with a pitchfork in his hand can be converted to a soldier by replacing his pitchfork with a sword; front office personnel can be empowered in similar fashion. So how can one make a single front office person capable of handling many jobs? By empowering him with software and equipment that makes his job simple and pressure free.
The Visitor Management Software captures all the information in an innovative fashion and appends it to a database for future use. In a matter of seconds the visitor has approached the front desk, given their details and had their photograph taken, their materials checked and a visitor badge printed.
This viable, cost effective and productive solution is within the reach of any establishment no matter how small. It takes the pressure off the front office staff, gives the visitor a delightful experience and allows the administration to take a breather. In a world where virtual solutions are fast taking precedence over all aspects of our lives software has once again come to the aid, providing a soft solution to manage front offices efficiently.

Corporate front offices are designed to make an impression; they are designed with one objective… to bowl over the visitor. And yet nine places out of ten fail to achieve visitor delight. Reception area architecture has changed rapidly, making progress in large leaps and bounds! Gone are the days of dreary drapes, bad paint jobs and plain furniture, the modern age has brought a burst of colour to the reception area. A dazzling display of lights on beautiful bevelled white ceilings greets the visitor. A plush couch that conforms to the curves of tired backs; the vignette of the paint on the walls diffusing so gently the light from the spots… beanbags, fountains, large spaces… Let’s face it; front offices have really gone hi-tech!
